Job Description:

 Administration Assistant based near Thame £18,000 - £20,000 full time permanent role.We are recruiting an organised, self-motivated individual to join our clients small team which is based near Thame in Oxfordshire.

The role will include all admin tasks relating to the day to day running of the UK Office. You will be assisting the Office Manager covering accounts, management of the rental operations and warehouse process.

You will be based in the office full time and will be expected to assist with tasks such as answering the office phone, meeting and greeting clients as they visit, making sure the office and warehouse is kept in good order. We work as a small team, so the willingness to get involved and help one another is essential.

Key Responsibilities:

Assistance in answer incoming phone calls to the office;

Opening the post;

Welcoming all visitors to our showroom;

Prepare and organise the posting of marketing materials (brochures, samples,etc);

Assist with rental projects alongside the Office Manager;

Any relevant tasks given from our Managing Director.

Daily reconciliation of our bank accounts on Xero;

Monthly tasks such as filing receipts with the relevant bank statements;

Assistance liaising with our accountants and head office on occasions;

Preparing and sending invoices & credit notes;

Keeping daily log of our cash-flow;

Chasing outstanding overdue rental returns;

Chasing outstanding invoices;

Processing order confirmations for our rental orders, including delivery notes, return notes;

Qualifications/Experience:

Essential:

  • Educated to GCSELevel
  • Previous experience in an office environment
  • Willingness to learn
  • Works and communicates effectively and efficiently within a small team
  • Organised, pro-active and good time management

Desirable, not essential:

  • Educated to A-Level
  • Experience using accounting software such as Xero
